Firebase (Google LLC)
Our Application utilizes several Firebase services to function.
1. Firebase Authentication
Purpose: Firebase Authentication provides a safe and secure system for managing user sign-up and login within the Application. It employs industry-standard security practices such as secure password hashing and encryption of data in transit and at rest. Firebase also monitors for suspicious activity to help prevent unauthorized access.
Login Options: You can log in using your email address, Google account, or Apple account. If you choose to log in with your email address, you will receive a secure, time-sensitive link sent to your inbox, which you can use to access your account. This method eliminates the need for managing separate passwords or credentials. Alternatively, you can use your Google or Apple account for a streamlined and secure login process, leveraging the credentials you already manage with these services.
Information Collected: When signing up or logging in via email link, you provide your email address. If you choose to log in using your Google or Apple account, Firebase Authentication may also collect additional information such as your display name and profile picture, as well as your email address. Firebase also collects user-agent strings and IP addresses to enhance security and prevent abuse.
User Responsibility: You are responsible for ensuring that no one else has access to your email inbox or the credentials associated with your email account. If you use an existing Google or Apple account to log in, you are also responsible for keeping those account credentials secure. For enhanced security, we recommend enabling two-factor authentication (2FA) for your email account, if available, to reduce the risk of unauthorized access.
User Choices: You can manage your authentication information directly in the app, including using the "Delete account" feature to permanently remove your account and all associated data. If you prefer, you may also contact us through the methods outlined in the "Contact Us" section of this Privacy Policy for assistance with managing your information.
Data Retention: Data collected by Firebase Authentication is retained according to Firebase's data retention policies, which can be reviewed in their privacy statement linked below.
2. Cloud Firestore for Firebase
Purpose: Cloud Firestore for Firebase is used to store data you provide during normal Application usage. This may include text notes and other application-specific data.
Information Collected: Cloud Firestore itself does not collect any information beyond the data you provide. However, Firebase Security Rules implemented within our Application may log information such as source IP addresses or user-agent strings for auditing and security purposes. These rules define who can access and modify your data to ensure appropriate safeguards are in place.
User Responsibility: You are responsible for the content you choose to store within the Application. We strongly advise against storing sensitive information that could be used for identity theft or financial fraud, such as:
- Social Security numbers
- Driver's license numbers
- Passport information
- Bank account numbers or credit card details
- Login credentials for other accounts
If you choose to store any sensitive information within your notes, please be aware that you do so at your own risk.
User Choices: You can access, update, or delete your stored data within the Application or by contacting us through the methods outlined in the "Contact Us" section of this Privacy Policy.
3. Cloud Storage for Firebase
Purpose: Cloud Storage for Firebase is used to store photos you take directly within the Application.
Information Collected: Photos you capture and choose to store within the Application are uploaded to Cloud Storage for Firebase. In addition to the photos themselves, basic metadata such as the filename, upload date, and file size may also be stored. Firebase Security Rules, which control access to stored photos, may log additional information such as the source IP address for auditing and security purposes.
User Responsibility: You are responsible for the content of the photos you choose to store within the Application. We strongly advise against storing photos that contain sensitive information, such as:
- Images of financial documents
- Identification documents (e.g., passports, driver's licenses)
- Images that could be considered private or intimate, including photos that reveal intimate body parts.
If you choose to store photos containing sensitive information within Cloud Storage, you do so at your own discretion. We encourage you to carefully consider the risks before uploading such content.
User Choices: You can access and delete your stored photos within the Application or by contacting us through the methods outlined in the "Contact Us" section of this Privacy Policy.
4. Firebase Crashlytics
Purpose: We use Firebase Crashlytics to enhance the stability and functionality of our App. Crashlytics helps us understand and address issues related to app crashes and errors.
Information Collected: Firebase Crashlytics collects data on app crashes and errors to help us identify and resolve issues you may encounter. This data is typically anonymized and does not contain personal information that could identify you.
Security Disclaimer
While Firebase adheres to industry-standard security practices, no system is completely immune to breaches. In the unlikely event of a security incident, we will take all reasonable measures to address the issue and notify affected users. However, TeamKay LLC cannot be held liable for any damages resulting from unauthorized access to your data.

Algolia Search (Algolia, Inc.)
Our Application uses Algolia to provide a fast and efficient search function for the content stored within the Application. Here’s how Algolia operates and the data involved:
Purpose: Algolia enables us to offer powerful search functionality within the Application. When you perform a search, your query is sent to Algolia's servers to retrieve relevant results from your data.
Information Collected: Algolia collects your search queries and may also gather anonymized data related to your searches to enhance the search experience. This anonymized data may include search terms and search frequency, but it does not contain personally identifiable information (PII).
Data Storage: Search queries and anonymized search data are stored on Algolia's servers. Algolia implements industry-standard security measures to safeguard your data.
For more information on Algolia's privacy practices, please refer to their privacy policy.
Additional Services
Please note that these services may change, or additional services may be added in the future. We receive information from third-party services either with your consent or when it is essential for the App to function properly. Any additional partners will be required to adhere to the same data protection standards outlined in this Privacy Policy.
How We Use Your Information
How we use the information we collect depends on how you interact with the App and the options you have chosen. The specific purposes for which we use your information include:
- To provide the App and manage your data: We and our third-party service providers rely on your information to provide the App, including authenticating your identity when you log in, managing your data, offering customer support, and maintaining the App's operation.
- For research and development: With your consent, we use information about how users interact with the App, as well as feedback you provide, to troubleshoot issues, identify trends, and enhance the App’s functionality, speed, security, and reliability. This may include the use of aggregated or anonymized data, which does not identify any individual, to make informed decisions and improvements to the App.
- Customer support: We use your information to address technical problems, respond to your requests for help, analyze crash data, and improve the overall performance of the App.
- For safety and security: We and our third-party providers use your data to verify accounts, monitor for suspicious or fraudulent activity, and enforce compliance with our policies.
- To protect our legitimate business interests and legal rights: We use your information as necessary to comply with legal obligations, protect our legal rights, and fulfill regulatory and audit requirements, where applicable.
- With your consent: When you provide consent for a specific purpose not listed above, such as allowing us to publish testimonials or featured stories, we use your data for that purpose.
- Legal bases for processing (for EEA users): For users in the European Economic Area (EEA), we process your information only where we have legal grounds to do so under EU laws. The legal bases include:
- Providing the App: We need your data to operate the App, offer customer support, and protect the security of the platform.
- Legitimate interests: We use your data to pursue legitimate business interests, such as research, marketing, and protecting our legal rights, provided that your data protection interests are not overridden.
- Your consent: You may provide consent for specific uses of your data.

- For other purposes: We may also use your data for other purposes such as analyzing data, identifying usage trends, evaluating marketing effectiveness, and improving your overall experience with the App.
If you have given consent for a specific purpose, you have the right to withdraw that consent at any time, though this will not affect the legality of any prior processing. Where we rely on legitimate interest to process your data, you have the right to object to such use, but in some cases, this may affect your ability to continue using the App.
How We Store And Secure Your Information
Information Storage And Security
We use third-party data hosting services (as listed earlier) to store the information we collect. Both we and our partners implement technical measures designed to safeguard your data. However, while we strive to protect your information, no security system is entirely foolproof. Due to the inherent risks of transmitting data over the Internet, we cannot fully guarantee the absolute security of your data while it is in transit or stored within our systems. If a data security issue arises, we will respond to inquiries within a reasonable timeframe.
How Long We Keep Your Information
The duration for which we retain your information depends on its type, as explained in more detail below. Once retention periods are over, we either delete or anonymize your data. In cases where deletion is not feasible (for instance, if data is stored in backup archives), we securely store and isolate it from any further processing until it can be removed.
We also respect the retention policies of the third-party services we utilize, as described earlier.
Account Information
We retain your account information until you choose to delete your account. Some information may be kept for longer to meet legal obligations, resolve disputes, enforce agreements, maintain business operations, or improve our App. In cases where information is retained for improvement or development, we take steps to anonymize data that could directly identify you. Such information is only used to gather aggregated insights about the App’s usage, not to analyze personal details.
Information You Input In The App
- For all users: If you choose to delete your account, all data associated with your account will be permanently deleted. Please be aware that this action is irreversible.
- For guest account users: If you use the App in guest mode, the data you input may not be preserved. Since there is no way to associate your data with a permanent account, if you are logged out or lose access, we may not be able to recover your data. Guest mode is intended for demo purposes, and we encourage you to create an account to save your data securely.
- For free account users: If you are using the free version of the App, we will store the information you input for up to 1 year after your last login. After this period, if you have not accessed your account, we will delete your data. You will be notified by email prior to the deletion. Please ensure that the email address you provided during registration is up-to-date and that you check your inbox regularly, as it is your responsibility to respond to the notification if you wish to retain your data.
- For premium account users: If you are using the premium version of the App, your data will be retained for 60 days after your subscription expires or fails to renew. Unless you renew your subscription, after this period your data will be permanently deleted. You will be notified by email in advance of this deletion. Please ensure that your email address is correct and that you monitor it for important notifications. You are encouraged to download a report containing the information you have entered in the App if you do not plan to renew your subscription. Please note that the report reflects the data stored in the database at the time of generation, so it is your responsibility to request it before the data is deleted.
Automatically Collected Data
Automatically collected data is generally retained for shorter periods, unless it is needed to enhance security, improve the App’s functionality, or comply with legal obligations.
How We Might Disclose Your Information
Business Transactions
If the Company is involved in a merger, acquisition, or sale of assets, your personal data may be transferred as part of that transaction. We will notify you in advance if your personal data will be subject to a different privacy policy as a result.
Law Enforcement
The Company may be required to disclose your personal data in response to lawful requests from public authorities, such as courts or government agencies.
